Welcome to PitSync. By accessing or using our mobile app (iOS or Android) or website, you agree to these Terms of Use. If you do not agree, please do not use the service.

1. Overview

PitSync provides vehicle maintenance tracking, reminders, and expense logging tools. Our features include MOT/tax tracking, cost summaries, document uploads, and AI-powered insights to help you stay on top of vehicle upkeep.

2. Eligibility

You must be at least 16 years old to use PitSync. By using the service, you confirm you meet this requirement.

3. No Official Affiliation

PitSync is not affiliated with the DVLA, DVSA, or any UK government agency. Vehicle-related data may be sourced from publicly available or licensed resources where permitted.

4. Account Responsibility

You must sign in using valid authentication (e.g. Apple ID, Google Sign-In, or email login).
You are responsible for keeping your credentials secure.
You are fully responsible for all activity under your account.
Account sharing is not allowed.

5. Data Ownership and Usage

You retain ownership of all data you submit, including vehicle information, service logs, expenses, and uploaded documents.
We process your data to deliver and improve PitSync features.
You may request deletion of your account and data at any time by contacting [email protected].
Data retention and quota rules are described in Section 8 (Paid Features, Subscriptions, and Data Limits).

6. AI and Automated Features

PitSync may use artificial intelligence and machine learning, including third-party AI services, to provide features such as document analysis, predictive reminders, and insight generation.
All AI-generated insights are for informational purposes only and should not be considered professional advice or a substitute for required legal compliance.
We make reasonable efforts for accuracy, but do not guarantee 100% accuracy of any AI-generated content.

7. Analytics and Cookies

PitSync may use analytics tools to understand user behavior and improve the service. These may include third-party analytics providers, but we do not share personal information except as necessary to operate and enhance the app.
We may use cookies or similar technologies on the website to personalize your experience and track usage patterns.
Usage data may include device type, session duration, feature interactions, and crash reports. This information is collected in aggregate and does not directly identify individual users.

8. Paid Features, Subscriptions, and Data Limits

PitSync Plus: In addition to the free plan, we offer a paid subscription (“PitSync Plus”) that unlocks premium features such as AI-powered entry logging, expanded storage, advanced reminders, and custom reminders. The specific features, quotas, and limits of each plan are displayed within the app and may change from time to time. We may update or modify PitSync Plus features in the future, and where legally required, material changes will be communicated in advance.
Subscription Length & Pricing: PitSync Plus is available as a monthly or yearly auto-renewing subscription. The exact price for your region will be displayed in the app before purchase and may vary by currency and location.
Free Trial: New subscribers may be offered a free trial (e.g. 7 days). At the end of the trial, unless you cancel, the subscription will automatically convert to a paid plan at the then-current price.
Trials: If you cancel during a free trial or your trial ends without converting to a paid subscription, your account will immediately revert to the free plan. Any data or uploads above the free plan limits (such as additional photos or vehicles added during the trial) may be restricted, hidden, or permanently deleted once the trial ends. Extended retention rules only apply to data created while you were a paying Plus subscriber.
Billing & Renewals: Subscriptions are billed through the Apple App Store or Google Play Store. Fees, billing cycles, and renewal terms are shown at purchase. Subscriptions automatically renew unless cancelled in your App Store or Google Play account settings. You can manage or cancel your subscription at any time in your App Store or Google Play account settings.
Refunds: Refunds are only available as required by law or under App Store / Google Play policies. PitSync does not provide partial refunds for unused subscription periods.
Downgrades & Retention: If you cancel or downgrade from PitSync Plus to the free plan, your account will be limited to the features and quotas of the free plan. Data within the free plan limits remains fully usable. Files or uploads that exceed free plan limits (such as additional photos or vehicles added while on Plus) will remain viewable for a limited retention period (currently up to 24 months) after downgrade, after which they may be permanently deleted. During this time, you will not be able to add new items above the free quota unless you upgrade again. Non-Payment: If your subscription payment fails or your renewal is not processed, your access to PitSync Plus will end at the expiry of the last paid billing cycle. At that point, your account will be treated as a downgrade to the free plan, and the same retention rules apply.
Abuse of Plans: Sharing a single Plus subscription across multiple individuals or otherwise circumventing plan restrictions is prohibited and may result in suspension or termination of your account.

Off-app purchases: Web-billed add-ons are offered outside the mobile apps. The apps do not present external purchase links. Purchases made in the mobile apps are handled by the respective app stores, and refunds follow the channel of purchase.

8A. Web-Billed Add-Ons — Vehicle Limits

Scope: In-app purchases are handled by the app stores. From time to time we may offer web-billed add-ons sold directly by us or via a licensed payment provider. These add-ons are not purchasable inside the mobile apps.

Base plan: PitSync Plus includes up to 5 vehicles.
Add-on (+5 vehicles): Each add-on increases your vehicle limit by 5. Add-ons can be stacked.
Pricing: Each +5 add-on is billed separately from your Plus plan. The regional price and taxes are shown at checkout; the billing frequency offered will be stated at checkout.
Billing & renewals: Web-billed add-ons auto-renew annually unless cancelled before the renewal date. Invoices and receipts are issued by our payment provider.
Activation: Your vehicle limit increases after successful payment is matched to your PitSync account email or User ID.
Expiry & downgrade: If an add-on lapses or is cancelled, your account reverts to the highest remaining plan limit. Items above the limit may be restricted or hidden. Section 8 retention rules apply.
Refunds (web-billed only): 14-day money-back guarantee on the first add-on purchase. No pro-rata refunds after 14 days. Renewal refunds are provided only where required by law.
Store purchases: Subscriptions bought inside the mobile apps are billed and refunded by the respective app stores. We do not provide cross-channel refunds.
Business tiers: Higher limits (e.g., >25 vehicles) may be offered on request as web-billed plans.

Dual-channel billing

If you purchase in the mobile app and also buy web-billed add-ons, each purchase is billed, renewed, and refunded by its own channel. We do not provide cross-channel refunds or credits.

Your usable vehicle limit equals the sum of your active entitlements at any time (e.g., base plan cap from the app store plus any active web-billed +5 add-ons). If any entitlement ends or is refunded, your limit updates accordingly. If your stored items exceed the new limit, adding new items is disabled and items above the limit may be restricted or hidden, consistent with our retention rules.

9. Acceptable Use

To keep PitSync safe and secure, you agree not to:

Upload or transmit harmful, abusive, illegal, or misleading content
Reverse-engineer, interfere with, or disrupt the service
Use automated scripts, bots, or scrapers without permission
Engage in phishing, spam, or other harmful activity

Violations may result in suspension or termination of your account.

10. Account Suspension and Termination

We reserve the right to suspend or terminate your account, or restrict access to parts of the service, at our discretion and without prior notice, if we believe you have violated these Terms of Use, engaged in unlawful activity, or pose a risk to the integrity or security of PitSync.

11. Service Availability

We aim to provide a reliable experience, but PitSync is offered on an “as is” and “as available” basis. Features may be added, modified, or removed without prior notice. We are not liable for downtime or service interruptions.

In the unlikely event of a data breach affecting your personal information, PitSync will notify you as required by law and as described in our Privacy Policy.

12. Force Majeure

PitSync is not liable for any failure to perform, or delay in performing, any obligation under these Terms due to circumstances beyond our reasonable control. This includes, but is not limited to, natural disasters, technical failures, third-party service interruptions, or changes in law or regulations.

13. Third-Party Services and Links

PitSync may offer access to third-party services, features, or content within the app or website. These services are provided by independent providers, not by PitSync.

Your use of any third-party service is subject to that provider’s own terms and privacy policy, which may differ from PitSync’s.
PitSync does not endorse, guarantee, or accept responsibility for any third-party services, offers, or content accessed through the app.
We are not liable for any issues, losses, or damages resulting from your use of or reliance on any third-party service or content.

We recommend reviewing the applicable terms and policies of any third-party service before use.

14. Disclaimer & Limitation of Liability

PitSync is provided strictly for informational and organizational purposes. All features—including reminders, notifications, cost summaries, and AI-generated insights—are intended to assist users in managing their vehicle records and schedules. You are solely responsible for ensuring compliance with all vehicle-related legal, financial, or maintenance requirements.

While we strive to offer helpful reminders and accurate logging, we do not guarantee the accuracy, completeness, or timely delivery of any data, notification, or reminder provided by PitSync. Do not rely solely on PitSync for critical deadlines such as MOT, insurance, tax, or service due dates. You must independently verify all important dates and obligations with the relevant authorities or providers.

Nothing in PitSync constitutes legal, financial, or professional advice. Any insights, recommendations, or information generated by the app are for informational purposes only.

To the fullest extent permitted by law:

PitSync (and its creator/operator) disclaims all warranties, express or implied, regarding the app and its features.
We are not liable for any direct, indirect, incidental, or consequential damages arising from your use of PitSync—including but not limited to missed reminders, data inaccuracies, service interruptions, or loss of data.
You enter and maintain all information in PitSync at your own risk. You are responsible for the accuracy of your entries and for acting on all vehicle-related obligations.
While we implement reasonable security measures, no system is completely secure. Use PitSync at your own risk.

By using PitSync, you agree to this limitation of liability and understand that your sole remedy for dissatisfaction with the service is to discontinue use.

15. Changes to These Terms

We may update these Terms of Use periodically. Changes will be posted here. Continued use of PitSync after changes means you accept the updated terms.

16. Governing Law

These Terms shall be governed by and interpreted under the laws of England and Wales. Any disputes arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
